Mr. Chappan:

I am in the process of organizing a conference on behalf of Women and the Media, and I am writing to inquire whether or not one of your conference rooms would be adequate for my client's needs.

The conference is to take place next July 15, and 175 people are expected to attend. There will be eight speakers, each with a different method of presentation. These include slide presentations and overheads.

Refreshments are required, as is a table at the side of the room for guests to pick up information sheets.

My client would like to see the speakers start at 8 a.m., with each speaker's presentation lasting approximately 20 minutes.

There will be a 10-minute introduction as well as a 10-minute closing. There are to be no breaks between speakers, excepting those listed below. I would like access to the room at 7 a.m. to ensure everything is set up accordingly.

A break between speakers five and eight will be scheduled, so easy access to seats is of utmost importance. Wheelchair accessibility is needed as well.
