Real-Life Communication

E-mail and faxes used to be the exception. Today, they are the rule. In most businesses today, the speed with which you communicate can make all the difference when it comes to winning a project bid.

Faxes should include a cover letter. Like any business communication, the cover letter must be worded in a professional manner. Grammar, style and spelling should all be addressed.

You are going to send a proposal to your client using the fax machine. You should include the following information in the cover letter:

  • Your name
  • Your company name
  • Company contact information
  • The subject of the fax
  • A brief summary of what the fax contains, and why you are sending it

Using the information below, write a brief cover letter that you could send to introduce the bid you are faxing.

Name:
Charles Sutter

Company information:
Sutter Construction
143 Main St.
Sutters Home, NY 10010

The bid you are sending was requested on April 1. It is for the construction of the Holly Branch Library. You've estimated the total cost of construction for the library will be $750,000. Your contact on the library project has been Marsha Hall.

When writing your cover letter, pay attention to grammatical and spelling errors. Keep the letter simple and to the point. Professionalism reaches far beyond face-to-face meetings when you are doing business with another individual or company.
