Real-Life Communication -- Solution

Here's what you could say:

"I understand how you feel. I would be upset too, if I had to spend the extra money and go to the trouble to re-ship the package.

"Did you know we used to send many packages with insufficient postage? Recently, however, the post office has become stricter about the rules. I've been told they lose $50 million a year to things like this. They're trying to be more efficient.

"I'm sorry about the inconvenience. I can offer you a list of our current shipping rates. It should help you avoid future problems."

Communication skills are important. Postal carriers talk all day long with the general public as well as businesses.

"The ability to communicate in a positive manner with both the customers you serve and your management team go a long way toward a good work environment," says Charlton.

He recognizes that a customer can be very angry with a service issue and the first person they encounter is often the letter carrier. Not listening in a positive manner only makes the customer angrier, both with the postal service and the person standing in front of them.
