Real-Life Communication -- Solution

Here's what you could write:

To: Program Directors, Athletic Department
From: John Ross, Director of Football Operations
Re: Scheduled Budget Meeting

To all program directors:

As you know, the fiscal year is coming to an end. As a result, a new budget has been approved. You all need to be updated on changes that are being made in this department. I know this will cause some concern. Please understand that though changes are being made to all athletic programs, you will not be losing any funding. It is simply being allocated differently for the next fiscal year.

To explain the changes that are being made, I have scheduled a meeting for tomorrow afternoon at 4 p.m. It is mandatory that each program director be present for this meeting. For that reason, I ask that you please sign and return this memo to acknowledge that you have received it and will be at the meeting.

Rest assured, there is no cause for concern. The specific details of the new budget will be fully explained tomorrow.

"Written communications are very important in this career," says Reginald Terry. He is a director of football operations at a university. "I'm constantly corresponding with my colleagues through e-mail and memos. And written communications need to be efficient because that's how you represent yourself."
